How Delta is Changing Checked Baggage

Delta is making history by updating their luggage handling process, benefiting business travelers and leisure travelers alike. This new technology uses Radio Frequency Identification (RFID), as opposed to the existing hand-scanned barcodes. The technology uses scanners to read embedded chips in luggage tags via radio waves to track the bags.

Delta we love to flyThis system will automatically catch improperly loaded luggage and assist the luggage handlers as well. Currently, when a traveler misses their connection, ground agents must manually scan each bag to find the specific piece of luggage. With RFID scanners, inventory will be taken quickly and at defined checkpoints to efficiently find the lost bag and route it appropriately. Delta is investing $50 million in the technology and have plans to install this at 84 locations, covering all hubs and about 85 to 90 percent of its total bag volume. Delta handles 120 million bags of luggage annually, this improvement will affect the majority of the luggage.

Interestingly, Delta is the first of all airlines to make such a vast improvement on luggage technology. Additionally, they have plans for real-time tracking and monitoring for the passenger. Push notifications through the Delta app will be available for the traveler, so they know when their bags hit different checkpoints. This is believed to have a 99 percent accuracy rate, ensuring proper routing and loading.

When Are The Peak Hours For Airport Security Lines?

Airports across the country are seeing longer wait times in the TSA security lines recently, due to a deficit of TSA screening employees and an increase in travelers. The number of travelers are only expected to increase as well, as we move into the busier summer months. In the last few years, there has been a 10 percent decrease in employees, recently culminating in longer security wait times. Though Congress recently approved hiring more screening agents, it may take until the end of June for these 500 new employees to be hired and trained. Until then, airports and the TSA are recommending travelers to arrive two to three hours before their flights and avoid peak hours for flying.

So, when are these peak times for airports?

  • Weekends are the busiest travel days. This includes Fridays during the summer months.
  • Think of airports as similar to highways. They tend to be busiest on weekdays in the early morning and early afternoon, then again in early evening.
  • Tuesday and Wednesday are usually slower.
  • Mid-day is the slowest time all week.
  • Peak hours may differ based on city. For example, port cities like Miami see a burst midday on Saturdays as vacationers on cruise ships return and head to the airport.

The Ultimate Airport Time-Saver: Tips for Enrolling in TSA PreCheck or Global Entry

It’s not just your imagination: Airport security lines are getting longer and longer. And wait times will only get worse when travel peaks this summer, The New York Times reports.

Now is a better time than ever to consider the Trusted Traveler Programs like TSA PreCheck and Global Entry. More than four million people have already enrolled, saving valuable time and avoiding hassles at the airport like taking off shoes and removing laptops and liquids. This summer, it might even make the difference between catching and missing your next flight.

Wondering which one you should join? For most frequent travelers in the U.S., the choice comes down to the two biggest programs:

TSA Pre?

  • To apply: $85 fee for a five-year membership; requires in-person interview at one of 350+ enrollment centers (children 12 and under can use it free with a family member who is enrolled)
  • Who it’s for: U.S. citizens and permanent residents who mostly travel within the U.S.
  • What you get: You’ve seen these dedicated security lanes at the airport, often with just a handful of people in line. The program offers expedited airport screening; passengers don’t need to remove shoes, belts, laptops or liquids. It’s available with 12 participating airlines at more than 160 airports. (Some notable exceptions include low-fare carriers like Spirit and Frontier.)

Global Entry

  • To apply: $100 fee for a five-year membership; requires in-person interview at 80+ enrollment centers
  • Who it’s for: U.S. citizens, permanent residents and citizens of select other countries who travel internationally; requires a valid passport
  • What you get: Expedited clearance at Customs and Border Protection checkpoints at most U.S airports and select international airports. Travelers can skip these often lengthy queues and instead scan their fingerprints at automated machines without filling out any forms.
  • Here’s what’s key: With Global Entry, you’re automatically eligible for TSA PreCheck.

Which Should You Get?

For anyone planning to travel abroad in the next five years, the extra $15 for Global Entry is a no-brainer to get the benefits of both programs.

The biggest drawback: You’ll need to plan ahead. Since there are fewer enrollment centers for Global Entry than TSA PreCheck, the wait time for an appointment will generally be at least a few weeks, if not months. And if you frequently travel with family members, each person needs to apply and interview separately.

Tip: Global Entry’s related programs NEXUS or SENTRI can also add value for travelers across the Canadian and Mexican borders.

  • To apply: The standard membership is $179 per year. Added family members (over 18) cost an additional $50. Children under 18 can use the CLEARlane for free (with a CLEAR member).

  • Where can you use it? CLEAR lanes are currently in the following airports: Austin (AUS), Baltimore (BWI), Dallas/Ft. Worth (DFW), Denver (DEN), Houston (IAH & HOU), Las Vegas (LAS), Miami (MIA), Orlando (MCO), San Antonio (SAT), San Francisco (SFO), San Jose (SJC) and Westchester, N.Y. (HPN)
    • More airports are coming: Delta Air Lines and CLEAR recently announced a partnership that will bring the program to all Delta U.S. hubs this year.
  • What you get: CLEAR uses your fingerprint instead of a license/passport to get you through the ID-checking portion of security. A CLEAR team member greets you at their lane, scans your boarding pass, taps your finger and escorts you straight to physical screening, skipping the long ID lines.
  • Here’s what’s key: For the fastest way to get through security, a CLEAR membership combined with TSA PreCheck means a quick fingerprint scan and then going straight through expedited security. These two programs address different pain points in security lane delays.

Time and Money-Saving Tips for TSA Pre? and Global Entry

  • Make sure you’re eligible before you apply: This seems like a no-brainer, but if you’re not approved, the application fee won’t be refunded.
  • Application fee reimbursement: Several credit cards – including the AmEx Platinum and Citi Prestige – will offer a statement credit for the application fee. Certain elite members of frequent flyer programs like Delta SkyMiles and United MileagePlus can also receive this benefit.
  • Plan around your travels: If you’re applying for Global Entry, many enrollment centers are located in major airports, including big connecting hubs like Chicago. I scheduled my interview about 2.5 hours before a flight I had already booked from JFK. So I just got to the airport earlier than I normally would.
  • Check for last-minute openings: As word gets out, the backlog of appointments is growing. I had to wait over a month for my appointment, but check once or twice a week. I noticed some last-minute appointments open up.
  • Know your Known Traveler Number: Once approved, you are assigned a Known Traveler Number. Enter this when you book a flight to be eligible for PreCheck on your boarding pass. If you’re a member of a frequent flyer program, you can just save the number to your profile to automatically apply to future bookings.
  • Double check before you fly: You might get use to the shorter lines, but PreCheck isn’t always guaranteed (especially for international flights on foreign carriers’ code-share partners). And remember: Not every airline and airport participates in PreCheck, so make sure to check the list here.

  • Consider working with a third party-risk management organization like iSOS or iJET.  Specializing in only medical and travel security assistance, they could be a good fit if you are only looking for assistance with safety. Review all costs associated prior to contracting.
  • Have a team approach. It is best to have all stakeholders involved in this decision including: travel department, security, HR, senior management, risk staff, and your designated travel management company.
  • Keep your travelers educated. Try different mediums of information like: travel policies, smart travel communications, web pages, and special alerts.
  • Keep communications simple and clear on who your travelers should call and what they should do in emergencies.
  • Travelers need to understand their ownership of their trip. If their trip is rescheduled or changed by the airline directly, your corporate travel management company will not get the updates so it is up to the travelers to notify the travel manager or key contact so contracted services can be rendered.
  • International travel comes with additional precautions. Travelers need to review their insurance coverage and ensure they have the ability to make larger payments for emergency tickets, hotel rooms and charter flights at a moment’s notice in case of evacuations.
  • Seek feedback from your business travelers to see what is working and not working.

Who Books Business Travel Earlier – Men or Women?

A recent study from the Harvard Business Review indicates men and women demonstrate different habits when planning and booking travel. The study, which analyzed 6.4 million flight bookings, indicates that women’s actions are, on average, more proactive. When this travel is for business, such proactivity helps the company’s bottom line by saving additional costs and fees. Below are a few related facts found by the study:

  • On average, women buy air travel two days earlier than men. Millennial women show the smallest difference in advance planning.
  • The more one travels per year (28 trips or more a year) results in less advance booking. There seems to be no difference for so-called road warriors.
  • The older any traveler gets, regardless of gender, the earlier they book. Women, however, book earlier than men at every age group.
  • The overall average difference in ticket costs in the study’s uncontrolled result was more than $133 per ticket.

As a way to offset this anticipated travel stress, women may be more organized before, during, and after their trip.  The study mentions other factors, but ultimately provides this as a variable influencing higher costs for companies. Using this data, it might be beneficial for corporate travel managers to create incentives for travelers who book their tickets earlier.

Duty of Care and the Zika Virus

If you’ve watched the news in the last six months, you’re likely aware of the mosquito-borne virus in Central and South America called Zika. Unfortunately, corporate travel managers with business travelers who work in that area also need to be concerned with the Zika virus. What should you know about the virus and how does it affect the health of your employees and your duty of care?

What is Zika?

  • Zika is mosquito-borne virus that began spreading in Central and South American countries
  • It can be sexually transmitted through males who have been infected
  • The symptoms of Zika infection are mild, including fever, rash, conjunctivitis, joint/muscle pain, and headaches
  • Only 20% of people infected even notice Zika symptoms
  • It can lead to a birth defect called microcerphaly in infected pregnant women
  • There is no Zika vaccine at this time

Recommendations for Business Travelers

  • Pregnant women, and even women of childbearing age, need to be the most vigilant. It has been recommended that they defer travel to these Zika-affected areas.
  • The Center for Disease Control (CDC) recently released a new finding that the prevalence of Zika is substantially less above 6,500 feet above sea level. It is believed that the Aedes aegypti mosquito, which carries the virus, do not live in these high elevations. If possible, stay in these high elevation areas during your trip.
  • Avoid bug bites by covering exposed skin and using bug spray. This handy infographic from the CDC provides additional tips to protect yourself.

What does this mean for a business’s duty of care?

Much about Zika is still unknown, however the World Health Organization has declared it an international health emergency. With that in mind, it is important to keep corporate travelers safe and healthy. Corporate travel managers should regularly monitor the CDC website and the World Health Organization website for updates and changes in protocol. Keep open communications with your business travelers about the virus and the risk. Make travel to infected areas optional. Locate medical facilities prior to business travel should an employee become infected and need attention in-country. Establish communication protocol to update and be updated by travelers needing help. Concerned travelers should also stay informed through the CDC.

7 Tips for Staying Productive on Business Trips

Even the most seasoned business travelers can get off track while on the road. Below are
seven tips for utilizing the most of your time while traveling for business.

1- Create a checklist for tasks to be completed only while in transit

Make a checklist of all the little things you can complete while on the plane, train, or in the taxi before your day of travel. It can be small items like: check in with the office, reply to an email, or proofread a report. Having your list prepared before you leave will keep you on track and build momentum for staying productive.

2- Save your writing for the plane

Even when wifi is provided, it can be slow, unreliable, and a real pain. Instead of taking the risk, put on your headphones and get in the writing zone. Whether creating presentation slides or drafting a few email responses, writing on the plane is the easiest way to get through a few tasks that might require serious concentration.

3- Download TripIt

Keep your plane, hotel, rail or any other travel related itinerary organized by downloading the TripIt app. It organizes everything in one convenient place, making everything you will need easily accessible and always on-hand. 4- Drink plenty of water

5- Always keep your phone charger with you. Always.

Plug it in when you have down time during the day, and charge it before going to bed. Nothing ruins an afternoon like chasing down a new charger, or frantically relying on secondary communication networks to coordinate events.

6-Be prepared with things to do during sudden changes and down time

Business travel can sometimes include sudden schedule changes or transportation delays. Come prepared with things to do during these times so you wont be left twiddling your thumbs. Download any additional documents you may need, or keep a list handy of short tasks that can be done, with and without a wifi connection.

7- Relax and recharge

To be your most productive self, you also need to be fully charged. Be sure to take time for yourself. Go to bed early or leave time to call home and check in with loved ones. Check out the local area for awhile before replying to those non-urgent emails.
